Who are we? 

EuroParcs is a Dutch provider of holiday experiences at holiday parks in the Netherlands, Austria, Belgium, Luxembourg, and Germany. Our core activities include the rental of holiday homes, chalets, and camping pitches to tourists, as well as the sale of holiday homes for rental through EuroParcs and/or for the purchaser’s own use. In addition, we (re)develop and manage holiday parks. 


Who is this document for? 

This Privacy Statement applies to all processing of personal data by EuroParcs in relation to services, transactions, agreements, and (website) visits to our holiday parks and offices. We respect the privacy of all our stakeholders and ensure that any personal data provided is treated confidentially and with integrity at all times. This document explains how we do so, which personal data we collect, and for what purposes such data is used. 


Changes to this statement 

EuroParcs reserves the right to amend this Privacy and Cookie Statement. Any changes will be published on our website. We therefore recommend that you review the Privacy and Cookie Statement regularly to stay informed of any updates. 


How and why do we process personal data? 

In providing our services, we process personal data of guests, visitors, owners, employees, and other parties involved. We only process personal data that has been provided directly by them in connection with the requested service, such as the rental of a holiday home or camping pitch. We will not use this personal data for other purposes unless prior consent has been obtained or where such use is permitted or required by law. 


Sharing of personal data 

We may share personal data with third parties if this forms part of the agreement or if consent has been given. For example, we may share a purchaser’s personal data with the civil-law notary. We will also share personal data where we are legally obliged to do so. 

 

Purposes of Processing 

We process personal data exclusively for the following purposes: 

  • For guests (lead bookers and fellow travellers): reservation handling, stay administration and night register, customer service, and invoicing. 
  • For purchasers: execution of purchase agreements, communication, and management of property ownership. 
  • For employees: performance of the employment contract, payroll administration, personnel planning, and development. 
  • General: compliance with legal obligations (e.g. tax legislation and safety regulations), internal quality control, and security of our parks. 


Description of Processing Activities 

Depending on the nature of the relationship, we may process the following personal data for the above purposes. 

When welcoming a guest to one of our parks, we process at least the following personal data: 

  • Name and address details and date of birth; 
  • Details of the travel party (names, dates of birth, and places of residence); 
  • Contact details; 
  • Reservation details; 
  • Vehicle registration number (if applicable); 
  • Type of identification document. 


When a guest or owner receives additional visitors, we process their name, date of birth, and place of residence. 

We process this personal data in order to perform bookings (contractual performance) and to comply with our legal obligation to maintain a night register. 

CCTV Surveillance 

CCTV surveillance is in operation at our parks where applicable. Signage is displayed to inform visitors of its presence. The purpose of CCTV surveillance is to safeguard our property and that of our guests and holiday homeowners. We apply strict conditions regarding the management of footage and comply with applicable laws and regulations. 


We use cameras that record video only, unless there is a specific reason to also record audio. Audio recording is used only by way of high exception, temporarily and under strict regulation, and appropriate signage will inform you before entering any area where this is applied. 


Purchase and Management of Holiday Homes 

Upon purchasing a property, a financial business relationship is established with EuroParcs. In this context, we process the following data: 

  • Name and address details, date of birth, contact details, Chamber of Commerce registration number, and details of beneficial owners; 
  • The purchase price and other relevant financial data relating to the transaction; 
  • Identity verification data; 
  • Information regarding the source and origin of funds used and checks in public databases concerning involved entities and individuals for the purposes of compliance with anti-money laundering and counter-terrorist financing legislation; 
  • Documents relating to the transaction, such as the purchase agreement and drawings; 
  • Where applicable, the Citizen Service Number / Tax Identification Number (BSN or similar) and additional data required to comply with tax legislation such as DAC7. 


Working at EuroParcs 

In the case of employment with EuroParcs, or when services are provided through another arrangement (such as self-employed contractors or agency workers), we process: 

  • Name and address details, contact details, and emergency contacts; 
  • IBAN/bank account number; 
  • CV details; 
  • Copy of identification document and, where applicable, work permit; 
  • Citizen Service Number (BSN) (in accordance with Article 46 UAVG; statutory purpose); 
  • Documents and data for the personnel file, such as reports. 


In the case of screening, a Certificate of Conduct (VOG) is processed and additional investigations may be carried out if necessary. The outcome of such screening will be recorded in the personnel file. 

 

Contact with EuroParcs 

EuroParcs offers various contact options. The available options are listed on europarcs.nl/contact-en-vragen. We process the data necessary to handle and respond to the inquiry. 


Online Contact

When contacting us via the website contact form, salutation, name, contact details, and the question or comment are recorded. When contacting us via social media (such as Facebook or Instagram), the account name and the content of the conversation are recorded. The same applies to email correspondence. The registration of this data is necessary to communicate with the inquirer and enables us to respond efficiently and retrieve the required information. 


Newsletters

After a booking with EuroParcs or upon subscribing via the website, we use the relevant email address to send (personalised) newsletters. Unsubscribing is possible at any time via the link included in the newsletter. 


Social Media

Our website uses social media buttons, allowing users to follow us and share content within their network. For more information on how these social media platforms handle personal data, please refer to the privacy statements of the relevant platform, such as Facebook and Instagram. 


Photos and Videos

Activities may be organised at our parks during which photographs and/or videos are taken for use on our websites, social media, or in printed materials. Where this is the case, prior consent will be requested from participants. 


Legal Bases 

We process personal data on the following legal bases: 

  • Performance of a contract (e.g. rental or purchase of a property); 
  • Legal obligation (e.g. tax retention obligations, night register); 
  • Legitimate interest (e.g. CCTV surveillance for park security); 
  • Consent (e.g. newsletters or marketing communications). 


Retention Periods 

Personal data is retained for as long as necessary to achieve the purposes described and for as long as required by law. For most personal data we process, this is seven years following the end of the agreement or stay. 

 

Processors 

EuroParcs engages processors such as software providers and website administrators. We ensure that data processing agreements are concluded with these parties and that they adhere to our security and privacy standards. 

Processing Outside the European Economic Area (EEA) 

Although EuroParcs aims to minimise processing outside the EEA, certain processing activities involve (software) providers located outside the EEA, such as in the United States and Suriname. All such processing is carried out in accordance with the “third countries” guidelines of the Dutch Data Protection Authority. 

Processing of Special Categories of Personal Data 

EuroParcs has no legal basis to process special categories of personal data and does not do so. Our employees are instructed to prevent such processing, including incidental processing. 

 

Minors 

EuroParcs does not enter into agreements with minors. Bookings can only be made by persons aged 18 or over. By requesting the date of birth, we verify that the individual is authorised to make a booking. Data of minors may be recorded in the park night register for safety purposes. 

 

Data Security 

We apply strict security procedures to protect processed data and prevent unauthorised access. Only individuals who require access to such data are granted access, and this access is appropriately restricted. We have implemented appropriate technical and organisational measures to ensure the security of personal data. 

 

Rights Regarding Stored Data 

Individuals have the right to access the personal data we process about them, as well as the right to have such data corrected or erased. They may also object to the processing of their personal data by us or by third parties acting on our behalf. Furthermore, individuals have the right to data portability, meaning that data they have provided may be transferred to them or, upon request, directly to another party. 

Before responding to such requests, we may require proof of identity. Where personal data is processed on the basis of consent, the individual has the right to withdraw such consent at any time.
